Description

Overall purpose

The Logistics Assistant Mosul supports the Mosul is directly responsible for management of the logistics activities linked to equipment, premises management and storekeeping at base level. He/She guarantees specifically the good management of the resources.

Responsibilities and scope of duties

-  Ensure the management of all PUI Mosul premises.

-  Ensure the management of all equipment of the office and other premises.

-  Ensure proper storage according to PUI’s policy and guidelines.

 

Specific goals and related activities

1.         STOREKEEPING

 > Ensure the good reception of stock in the base warehouses:

- Liaise with Logistics Officer and Procurement Assistant in order to know the arrival times of goods and prepare the depot for reception of the items ordered.

- Verify that all the items requested are received.

- Verify the packing lists of the items received and report any discrepancies or damages to items to the transporter.

- Verify the expiry date of articles received, if relevant.

- Check items according to GRN and send originals to procurement.

- Prepare waybills.

>  Ensure the good maintenance of the stock in the base warehouses:

- Responsible for the appropriate stocking of all non-medical items and equipment, including climatic conditions such as ventilation and temperature.

- Ensure the cleanliness and order of the stock.

- Ensure that the stock is well arranged on the shelves to avoid contamination of any items.

- Liaise with the Logistics Officer for any repairs required for the warehouses.

- Control access to the depot and ensure the security of all items.

>  Ensure the good administration of the stock in the base warehouses:

- Produce a monthly inventory and ensure the coherence between the SMR and the physical stock.

- Follow up and inform line manager of any discrepancy or missing stock.

- Maintain up to date Stock Cards according to each entry and exit, paying attention the project codes.

- Manage the stock per grants.

- Manage the stock by lot/expiry date and implement the First Expired First Out (FEFO) principal when relevant.

 

>  Ensure the good dispatch of the stock in the base warehouse following the release requests received:

- Receive and treat the release requests in time.

- Prepare and box up for transport the items requested by the PMs.

- Prepare waybills and/or donation certificates for all items exiting the stock.

- Liaise with the Logistics Officer for transport of the items to the project sites.

2.         PREMISES MANAGEMENT

- Be the focal point on any Mosul premises issue.

- Ensures the premises follow up for the office, the guest houses and the store.

- Ensure the maintenance and the needs analysis regarding all premises and the communication of needs to the Logistics Officer.

- Ensure that the issues related to small maintenance are fixed.

- Ensure the maintenance of premises and the supply of premises consumables, stationaries and refreshments. Check and take action when necessary.

- Anticipate and evaluate the stock and assets needs of Mosul based operations.

- Be on call during weekends to manage premises related emergencies in Mosul.

3.         EQUIPMENT & INVENTORY MANAGEMENT

- Manage installation of assets and materials in Mosul base and in program locations assigned by the Log Officer.

-  Ensure the maintenance and the proper use of all IT and Telecom equipment on the base and on programs. Check and take action when necessary.

-  Ensure the distribution of IT and telecom assets, ensure the supply of IT and telecom consumables.

- Focal point on any IT and telecom issues.

-  Responsible for the codification and the allocation of all assets and durable equipment at base level and at programs locations.

- Ensure the follow-up of all assets and durable equipment at base level (update of equipment list and inventory lists notably), and in assigned program locations.

- Be on call during weekends to manage equipment related emergencies in Mosul.

- Ensure all the equipment are labeled and are maintain all the times.

- Ensure all assets are verified physically at the end of each month and shared with line manager as part of the logPack.

- Ensure all the inventory items are labelled and that room wise inventory lists are pasted in each room.

- Ensure all broken and damaged items are reported and fixed timely.
